About the Client

Rajan Wadhwa Estates is a real estate organization that manages multiple property projects simultaneously. Their operations involve coordinating tasks between project managers, team members (doers), and administrative staff through structured project workflows.

As projects expanded and team collaboration increased, management needed greater clarity on how tasks were progressing, particularly regarding when work actually began on assigned tasks.

While task completion was being tracked, there was no reliable way to know when a task had truly started, which created gaps in monitoring project execution.

The Visibility Gap in Task Execution

At Rajan Wadhwa Estates, tasks were assigned and completed through the Project Management System. However, the system only captured task completion timestamps, not the actual start time of work.

This created practical operational challenges:

  • No system-generated record of when tasks doer actually started
  • Limited transparency in tracking work progress
  • Incomplete data for performance reviews and reporting

Without start-time tracking, it was difficult for leadership to determine whether delays were due to late task initiation or slow task execution.

What Rajan Wadhwa Estates Needed

The client required a simple yet reliable way to track when work begins on every task.

Their requirements included:

  • Recording the exact start date and time of tasks
  • Ensuring tasks follow a clear start-to-completion workflow
  • Making start and completion timestamps visible to administrators
  • Including these timestamps in system reports
  • Improving overall task accountability and project monitoring

The goal was to capture the complete lifecycle of each task—from start to finish.

Designing a Task Start Time Tracking System

To address this need, a custom enhancement was developed within MIDAP (MI Digital Autopilot) inside the Project Management System (PMS).

The solution focused on simplicity, accuracy, and enforcing workflow discipline.

Introducing a “START” Button

A dedicated START button was introduced for all assigned tasks.

This button allows the assigned team member (Doer) to officially begin a task within the system, ensuring that work initiation is properly recorded.

Integration Across Key Task Interfaces

To ensure smooth usability, the START button was integrated into multiple task management areas:

  • Project Task List (Index Page)
  • PMS Complete Task Form
  • Project Manager → Doer Task List
  • PC Report view →  Project Task List

This allows users to start tasks directly from the interface they normally work in.

Automatic Start Time Recording

When a Doer clicks the START button, MIDAP automatically records:

  • Actual task start date
  • Actual task start time

This timestamp is generated by the system, ensuring accurate and tamper-proof tracking.

Workflow Control for Task Completion

To maintain process discipline, a key rule was implemented:

A task cannot be marked as completed unless it has first been started.

This ensures that every task follows the correct workflow:

Start → Work → Completion

It eliminates situations where tasks appear completed without clear evidence of when work began.

Admin Visibility and Reporting

Administrators and management teams can now view both task start and completion timestamps directly in system reports.

This information is available in:

PC Report View → Project Task List

Reports include:

  • Task start date and time
  • Task completion date and time
  • Full task lifecycle tracking

Reports can also be downloaded for review, analysis, and audit purposes.

How the System Works in Practice

For example, when a task is assigned to a team member:

  1. The Doer clicks START when beginning the task.
  2. The system records the exact start timestamp.
  3. Once the work is finished, the user submits the task as Completed.
  4. The system records the completion timestamp.

Management can now easily see:

  • When the task started
  • When it finished
  • How long the task actually took

Everything is recorded automatically.

Impact on Rajan Wadhwa Estates’ Operations

After implementing task start time tracking, Rajan Wadhwa Estates gained significant operational clarity.

Key improvements included:

  • Accurate measurement of actual task duration
