Automated Weekly Sales MIS & KPI Reporting

Automated Weekly Sales MIS & KPI Reporting

About the Client

The client has a dedicated Sales Team responsible for handling customer meetings, sales activities, and conversions. The Accounts Team manages financial and D2C Sale-related information separately.

With multiple Sales Executives and different teams involved in maintaining business data, the client needed a structured way to bring this information together and monitor sales performance on a weekly basis.

The management team wanted a consolidated report that could provide a clear view of each Sales Executive’s performance without depending on repeated manual data collection, mapping, and KPI calculations.

Business Requirement

The client needed a more efficient way to monitor the weekly performance of their Sales Executives. As the sales team was handling multiple activities throughout the week, management required a Weekly Sales MIS Report that could bring all important performance data together in one place.

The report needed to provide a clear view of individual Sales Executive performance, including:

  • Sales Executive Name
  • Number of Meetings
  • Number of Sales Done
  • Conversion Ratio
  • Average Sale
  • D2C Sale

The challenge was not simply generating the report. The required information was being captured by different teams through separate processes.

Sales Executives were responsible for entering their meeting and sales activity data, while the Accounts Team maintained the D2C Sale information separately. Since these data points were stored and managed through different workflows, preparing a consolidated weekly report required additional manual effort.

The team had to collect the relevant information, match the D2C Sale data with the appropriate Sales Executive, and then calculate the required KPIs before the report could be shared with management.

As the number of Sales Executives and transactions increased, this manual dependency made the reporting process more time-consuming and created the possibility of data-mapping errors.

The client therefore wanted to automate the complete reporting workflow so that data from different teams could be brought together automatically and the required sales KPIs could be generated with minimal manual intervention.

Challenges in the Existing Process

The existing reporting process involved several manual steps:

  1. Sales Executives entered their sales activity and performance-related information.
  2. The Accounts Team maintained D2C Sale information separately.
  3. Data from both sources had to be collected and consolidated.
  4. D2C Sale information needed to be mapped to the correct Sales Executive.
  5. Sales performance KPIs had to be calculated for each Sales Executive.
  6. The consolidated MIS report then had to be prepared and reviewed.

This process created unnecessary dependency on manual data handling. Even when the underlying information was available, management could not get the final consolidated view without additional processing.

The client needed a system-driven approach where the data could flow from the respective sources, be mapped correctly, and automatically contribute to the final weekly MIS report.

Our Solution

We automated the Weekly Sales MIS & KPI Reporting workflow by connecting the relevant data sources and creating an automated flow for data mapping, KPI calculation, and report generation.

The solution was designed to bring together information entered by the Sales Team and the Accounts Team without requiring the teams to maintain duplicate information for reporting purposes.

The automated workflow performs the necessary data mapping and associates the relevant D2C Sale information with the correct Sales Executive. Once the required data is available, the system processes the information and calculates the required performance indicators.

The Weekly Sales MIS Report can then provide management with a consolidated view of the performance of individual Sales Executives.

Automated KPI Calculation

The reporting workflow automatically processes the available sales data to generate important performance metrics such as:

Meetings:
Tracks the number of meetings conducted by each Sales Executive during the reporting period.

Sales Done:
Provides the total number of sales completed by each Sales Executive.

Conversion Ratio:
Helps management understand how effectively meetings are being converted into sales.

Average Sale:
Provides an indication of the average value of sales generated by each Sales Executive.

D2C Sale:
Brings the D2C Sale information maintained by the Accounts Team into the consolidated Sales MIS and maps it to the appropriate Sales Executive.

By automating these calculations, the team no longer needs to repeatedly collect information and manually prepare KPI calculations every week.

How the Automated Workflow Works

The overall process follows a structured flow:

Sales Activity Data → Accounts/D2C Data → Automated Data Mapping → KPI Calculation → Weekly Sales MIS Report

The Sales Team continues entering the information required as part of their regular workflow, while the Accounts Team maintains the D2C Sale data through its existing process.

The automation then brings the relevant information together, identifies the appropriate Sales Executive, and processes the data required for the weekly report.

This means that the reporting process does not depend on someone manually checking multiple sources every week and combining the information before management can review it.

Business Impact

The automation significantly simplified the client’s weekly sales reporting process.

✓ Automated Weekly Sales Reporting

The Weekly Sales MIS no longer depends on repetitive manual preparation. The reporting workflow is automated around the data already being captured by the respective teams.

✓ Consolidated Data from Multiple Teams

Sales activity information and D2C Sale data maintained by different teams are brought together into a single reporting workflow.

✓ Reduced Manual Data Handling

The team no longer needs to repeatedly copy, consolidate, and process information from separate sources to prepare the weekly report.

✓ Accurate D2C Sale Mapping

D2C Sale information is automatically associated with the relevant Sales Executive, reducing the possibility of incorrect manual mapping.

✓ Automated KPI Calculation

Key sales performance metrics such as Meetings, Sales Done, Conversion Ratio, Average Sale, and D2C Sale are calculated as part of the automated reporting process.

✓ Improved Reporting Accuracy

Since the reporting workflow follows a defined process for data mapping and KPI calculation, the chances of manual calculation and data-entry errors are reduced.

✓ Easier Sales Performance Tracking

Management gets a consolidated view of Sales Executive performance, making it easier to review individual performance and compare key sales indicators on a weekly basis.

Conclusion

A multi-team and manually dependent sales reporting process was transformed into a structured and automated Weekly Sales MIS & KPI reporting workflow.

Instead of spending time collecting information from different teams, manually mapping D2C Sales, and calculating performance indicators, the client now has an automated process that brings the required data together and prepares the relevant KPIs.

The result is a more reliable, consistent, and efficient sales reporting system that gives management a consolidated view of Sales Executive performance and makes weekly performance tracking much simpler.
